Terms & Conditions

Rye Meadows Terms

 

To Make A Booking

Please use the booking form on the website to check the property is available on the dates you require.  We can then hold this provisionally for 3 days giving you time to complete the booking form and send your deposit.  Payment is normally by bank transfer or PayPal – account details will be provided on the invoice which will be sent to you once the booking form has been received.

Confirming Your Booking

A deposit of £100 per week is required to confirm your booking.  If however you are booking within six weeks of your holiday, payment must be made in full when confirming your holiday.  Please note, we do not accept post-dated cheques and your holiday is not confirmed until you have received written confirmation from us and we reserve the right to refuse any booking before we have issued the written confirmation.  Your booking is made as a consumer and you agree that the owners do not accept liability for expenses, costs, losses, claims or other sums that relate to any business however so suffered or incurred by you.  You must be over 18 years of age at the time of making your booking.  Please check the confirmation letter carefully and report any errors immediately.  Prices and booking conditions may be subject to review by the owners at any time.

Balance of Payment

The balance of your holiday is due 6 weeks prior to holiday commencement and payment must have cleared our bank account 6 weeks prior to your holiday.  This can be paid by bank transfer.  Please note, we do not accept post-dated cheques.  Non payment of the final balance when it becomes due will constitute cancellation of the holiday and forfeiture of the deposit payment. 

Items Included In The Price

All utilities, bed linen and towels are included in the price. 

Temporary membership to the Country Club Leisure Centre are included in the price for the duration of your stay (opening hours Monday-Saturday 09.30-17.00 and Sunday 09.30-19.00 – 18.30 on Sunday for children). You will have the benefits of the use of the swimming pool, sauna, steam room, jaccuzzi and gym subject to the Whoop Hall Country Club rules and conditions.  The owners of Rye Meadows have no control over these provisions which will be at the discretion and times of the Country Club and no compensation will be provided should they be out of order or unavailable.  Please note, children under 16 years need to be accompanied by an adult at all times.  Passes are not supplied or needed, your details and occupation of Rye Meadows will be confirmed by the club reception on arrival.  Entry is for a MAXIMUM of 4 people and individuals must be staying at Rye Meadows.

Car parking in the allocated bay.

Prices quoted are in £ sterling.

Items Not Included In The Price

Meals are not provided – Rye Meadows is self catering accommodation.

None of the services provided by the Whoop Hall Hotel other than key handover service.  You will need to make your own arrangements with the hotel for their services such as meals, if required and special events etc.

All terms and conditions of the Whoop Hall Country Club Leisure Centre will be adhered to or the service will be withdrawn without compensation.  The Beauty Salon and treatments at the Whoop Hall Country Club are not included but are available at an additional cost to the Country Club.

Towels are NOT provided for the Leisure Centre and the towels at Rye Meadows should not be used.  Please bring your own towels or alternatively they can be hired from reception.

Breakage & Good Housekeeping Deposit

A £75 breakage and good housekeeping deposit (per week) is required at the time of balance of payment.  This will be refunded within 3 weeks of your return provided there is no damage and the property is left clean and tidy.  Any cost of repair or replacement items will be accounted for and deducted from your deposit prior to being refunded.  You are responsible for the actual costs of any breakage or damage along with additional costs that may occur caused by you or any member of your party.  Please report any damages/breakages before departure on the contact telephone number provided in order for us to repair/replace these prior to the next incoming guests.

Key Collection

Rye Meadows is available from 3.00pm on day of arrival and must be vacated by 10.00am on day of departure.  Keys can be collected from the Whoop Hall Hotel reception on the day of arrival.  Keys must be returned to the reception at the end of your stay.

Car Parking

There is ONE allocated parking bay within The Meadows community for Rye  Meadows and this is donated by the number 9.  There is additional parking nearby at the leisure centre, should you require it.

Occupancy

Your holiday group must not exceed 4 adults.

We subscribe to a key handover and reporting service at the Whoop Hall Hotel and part of their responsibility is to report back to us any problems with occupants including behaviour and breaches of numbers.  If this happens you will be required to leave and we will treat your holiday as cancelled by you and you will not be entitled to a refund of monies or compensation.

If Problems Arise Before Your Arrival At Rye Meadows

If a problem arises with the property we will endeavour, as soon as practically possible, to inform you of this. 

We cannot accept responsibility for entry to any attractions or area amenities mentioned on the website or leaflets in the property.  These are for information purposes only.

Smoking

Smoking is not permitted anywhere in the property.

Pets

No pets are allowed.  This is a written covenant on the property.  If pets are discovered in the property you will be required to leave and we will treat your holiday as cancelled by you and you will not be entitled to a refund of monies or compensation.

Fire Safety

A fire risk assessment has been carried out at Rye Meadows and a copy is included in the information pack at the property.  Candles or other naked flames are NOT PERMITTED anywhere in the property.

Your Responsibilities

You are responsible for the property, this means you must keep all furnishings and fittings inside and outside the property in a state of repair and condition as at the beginning of the holiday.  The property cleanliness must be left in the same state as you found it.  Breach of these conditions may result in the owners making a deduction from the good housekeeping bond and/or making a claim against you as a result of any damage or loss.

Please note the main bedroom is a mezzanine and although safety precautions have been taken, children should be supervised in this area as well as on the balcony and around the ornamental pond in the landscape garden area.

You are expected to show due consideration for other people, not to abuse the property or display bad behaviour towards the owners, the neighbours or their guests, staff at Whoop Hall Hotel or the Whoop Hall Country Club.  Possession of the property can be refused or you may be asked to leave before the end of the holiday.  If this happens we will treat your holiday as having been cancelled by you and you will not be entitled to a refund of your holiday cost or compensation.

It is your responsibility to check the property meets your needs.

These are available on request throughout the year but only at short notice during the high season.

Access To The Property

There may be occasions when the owners require access to the property to carry out essential repairs.  The owners will endevour to contact you to arrange a convenient time should this occur.

If We Cancel

The owners do not expect to make any changes to your booking but occasionally changes may occur.  Compensation will not be paid for minor changes.  A full refund will be given in the unlikely event that we need to cancel a booking.

If You Cancel

If you have to cancel your holiday all monies paid will be forfeited.  We strongly recommend you take out holiday insurance which covers cancellation.

Complaints

Our aim is to make your holiday as enjoyable as possible, however problems may occur.  Please report any problems straight away as they may not be able to be rectified after your holiday.  If you are dissatisfied, you must write to the owners within 14 days of your return.  If you return home before reporting difficulties to the owners, the owners cannot accept any liability.

WIFI

Complimentary access to wifi is available at Rye Meadows, subject to availability but this cannot be guaranteed.  The owners therefore  do not accept responsibility or liability if wifi is not available at any time during your stay.  We may also control the types of material that can be sent or received over the wifi. If we want to we can also suspend your access at any time without responsibility to you.  Your use of the wifi is at your own risk and we are not responsible to you for any damages, losses, costs or expense you suffer because the wifi is unavailable, does not operate as expected or causes loss or damage to any data.

Please act lawfully and do not act in any way that could be unlawful or encourage others to act unlawfully.  In particular, do not infringe intellectual property rights and do not engage in any criminal offence or encourage others to do so.

Please also act responsibly. You must not undertake actions that are harassing, defamatory, threatening, obscene, abusive, racist, sexist, offensive or otherwise objectionable or inappropriate. 

Please do not use wifi access in any way that my affect the running of the wifi or other technology connected to it.  In particular, do not upload or download very large files and make sure your device is protected by up-to-date anti-virus software.

Liability

The owners shall have no liability for any death or personal injury.  You must take all necessary steps to safeguard your personal property.  No liability is accepted by the owners in respect of damage to, or loss of personal property.

Data Protection

For the purposes of the Data Protection Act 1988, the owners are the sole data controller of all personal data provided to us from customers and prospective customers.  We will collect certain personal details from you including your name and address.  From time to time the owners may contact you by email or post for marketing purposes.  If you do not wish to receive any communication, please inform the owners by email at info@ryeandburrowmeadows.co.uk.  The owners will assume that you do not object to being communicated with unless they receive notice.

Force Majeure

Compensation payments will not apply where the owners cannot fulfil their obligations due to circumstances beyond their control.  This would mean any event the owners cannot foresee with all due care eg riots, war or threat of war, terrorist activity, civil strife, natural or nuclear disaster, industrial dispute, adverse weather conditions, fire epidemic or health risk and similar factors beyond the owner’s control.
